Clinical Operations Coordinator

Job Summary
1. Provides support to ensure maximum Division OR utilization:
a.Assesses and monitors snapboard and MD calendars daily to ensure cases are placed efficiently and effectively and that open time is used appropriately within the Division. Proactively identifies issues and proposes solutions.
b.Maintains Division block calendar - actively monitoring for internally released time, reassigning released time as appropriate, and releasing to hospital according to policy. Maintains additional shared calendars (ex. DIEP calendar).
c.Provides weekly reports to Practice Administrator and Sr. Administrative Director on prospective and retrospective utilization.
d.Prepares formal monthly OR utilization reports for leadership review.
e.Uses available tools to proactively identify issues and offer solutions to practices. FYIs Practice Administrator and Sr. Administrative Director as needed.
f.Trains new staff on OR booking policies and procedures and serves as first point of contact to junior staff with OR-related queries.
g.Maintains current knowledge of provider OR needs.

2.Provides additional coordination and support for Division clinical needs:
a.Maintains faculty call schedules.
b.Onboards clinical observers and coordinates formal observation schedules, as needed.
c.Maintains clinic templates and facilitates changes as requested by Practice Administrator.
d.Serves as administrative partner in launching new clinical programs or services not directly tied to an MD

3.Serve as backup support to Practice Administrator for management issues related to MD practice operations, as needed.
a.Serves as a "site supervisor" at BWH when Practice Administrator is not physically present. Answers staff questions and provides in-the-moment support when necessary (ex. patient relations issues).
b.Assists with selecting and onboarding new staff, as needed. Participates in staff evaluations as r/t surgical coordination performance.

4.Participate in additional projects related to clinical operations, as requested.

Qualifications

Education

- Bachelor's Degree required.

- 2+ years of related healthcare experience required, demonstrating progression of duties and responsibilities over time.

Experience
Project support or administrative experience 0-1 year required

Knowledge, Skills and Abilities
- Knowledgeable of basic business administrative principles and project management best practices.
- Exceptional verbal, written, and presentation skills.
- Ability to work effectively both independently and as part of a team.
- Competency in Microsoft applications including Word, Excel, and Outlook.
- Ability to work on tight deadlines.
- Knowledge of file management and other administrative procedures.
